What personal data do we collect and why we collect it

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. This is the Gravatar Service Privacy Policy. After approval of your comment, your profile picture is visible to the public in the context of your comment.

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact form

We collect your name, e-mail address, and any comments you may add along with your questions. We will not use your personal data for any purpose other than just to reply back to you, the one who made the inquiry.

Subscription form

If you submit a subscription form on our site you will be opting in for us to save your name, email address, and other relevant information.

These subscriptions are used to notify you about related content, discounts & other special offers.

You can opt-out or unsubscribe at any time in the future by clicking the link at the bottom of any email.

Subscriber information is retained in the local database indefinitely for analytic tracking purposes and for future export. Data will be exported or removed upon users’ requests. If syncing data to a 3rd party service (for example Mailchimp), data is retained there until unsubscribed or deleted. User info may be passed to these external services. These services may be located abroad.

We do not display commercials on our website.

We may temporarily display our own promotions and campaigns on our website.

We do not allow commercial third-party tracking on our website.

The cookies we use on our website are solely intended for the optimal functionality of the website.

For instance, if you leave a comment on our site you may opt-in to save your name, email address, and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

We use anonymous cookies to prevent users from seeing the same popup repetitively in an attempt to make our user’s experience more pleasant while delivering time-sensitive messaging. This may result in cookies being saved for an extended period of time. These are non-tracking cookies used only by our popups.

We use a survey application to display functional forms to the users (i.e. feedback forms, customer satisfaction forms, polls related to our activity, etc.). In order for these to work, a session cookie must be saved into a client browser. The survey application runs from a separate domain, and may not work properly or even render errors if a browser is set to block third-party cookies.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

We use Google Analytics, Hotjar, and LimeSurvey to process information regarding online traffic to and through our website. We do not use any third-party commercial profiling and we do not display advertisements, except our own promotions or advertisements. If you landed on our website through a keyword search on a search engine, that engine might retain your associate data (ex. IP, device type, etc.) along with your choice to visit our website and may use your data according to their privacy policy. Analytics will identify among other statistical data, the location of your visit and may retain locally the collected data, up to one year.

While you visit our site, we’ll track:

  • Location, IP address, and browser type: we’ll use this for purposes like estimating taxes and shipping and statistical data
  • Shipping address: we’ll ask you to enter this so we can, for instance, estimate shipping before you place an order, and send you the order!

We’ll also use cookies to keep track of cart contents while you’re browsing our site.

When you purchase from us, we’ll ask you to provide information including your name, billing address, shipping address, email address, phone number, credit card/payment details, and optional account information like username and password. We’ll use this information for purposes, such as, to:

We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store order information for up to 5 years for tax and accounting purposes, as required by domestic laws. This includes your name, email address, and billing and shipping addresses.

We will also store comments, feedback, or reviews if you choose to leave them.

Who do we share your data with

We need to share your data with our carrier, for delivering your purchases to you. Your data may be scanned from package labels and retained in the archive at postal offices along the way. If you subscribed to our newsletter, your name and e-mail address may be used within third-party application programs or services like MailChimp, which handles our newsletters. If you made the payment using a service like Paypal, your personal data is on their record too. Other than that, we do not share your information with anyone, according to governing laws.

Please see the PayPal Privacy Policy for more details.

Event Calendar

Event Calendar WD optionally embeds Google Maps on the front end to display events on the map. Embedded Google Maps behave in the exact same way as if you have visited the Google Maps site. Google may collect data about visitors, use cookies, and track, including your logged-in experience interaction with the Google platform. Google Maps are regulated under the terms of the Google Privacy Policy.

When shopping, we keep a record of your email and the cart contents for up to 30 days on our server. This record is kept to repopulate the contents of your cart if you switch devices or needed to come back another day. Read their privacy policy here.

Our website uses plugins from YouTube, which is operated by Google. The operator of the pages is YouTube LLC, 901 Cherry Ave., San Bruno, CA 94066, USA.

If you visit one of our pages featuring a YouTube plugin, a connection to the YouTube servers is established. Here the YouTube server is informed about which of our pages you have visited.

If you’re logged in to your YouTube account, YouTube allows you to associate your browsing behavior directly with your personal profile. You can prevent this by logging out of your YouTube account.

YouTube is used to help make our website appealing. This constitutes a justified interest pursuant to Art. 6 (1) (f) DSGVO.

Further information about handling user data, can be found in the data protection declaration of YouTube under Google Privacy Policy.

We use this technology to record and build heat maps of your behavior and interactions within our pages. We may also present you with some forms from which you could optionally send us feedback about your experience on the website or your thoughts about products. This way we can better understand what user likes or don’t like about our content. By using this data, we can adapt and serve you, the user, with better information about us, and our products. Our visitors and users have the right to obtain a copy of the information stored about them and we give them the option to have their data deleted. This is Hotjar’s Privacy Policy.

We use this application to collect direct feedback from our users through forms or polls which are embedded within the content of our website. Collected data include the referral page which contained the form, user IP address, and users’ direct responses. We use this information to improve our service and our products. We do not sell this data. We may publish our findings on our pages, to inform the public about what we think is of interest. Although most of the surveys are anonymous, if/when personal information is recorded, we will never disclose it. When necessary, surveys may ask for your explicit consent, depending on the topic or collected information.

We use an application to offer notification subscriptions for products that are temporarily out of stock. A valid email address must be introduced in the subscription form so we can send you a confirmation and notify you once the product becomes available for purchase. If new information pertinent to the product becomes available you may also be notified. After you will receive the final availability notification, your subscription data will automatically be removed from this waitlist. If you further wish to be on the waitlist again, you must re-subscribe from the product page. If you wish to be removed from the waitlist and have your personal information erased, simply reply with your request to the initial confirmation email, or contact us directly.

Google Web Fonts

For a uniform representation of fonts, this page uses web fonts provided by Google. When you open a page, your browser loads the required web fonts into your browser cache to display texts and fonts correctly.

For this purpose, your browser has to establish a direct connection to Google servers. Google thus becomes aware that our web page was accessed via your IP address. The use of Google Web fonts is done in the interest of a uniform and attractive presentation of our plugin. This constitutes a justified interest pursuant to Art. 6 (1) (f) DSGVO.

If your browser does not support web fonts, a standard font is used by your computer.

Further information about handling user data, can be found here and this is Google’s Privacy Policy.

Social Media Websites

We use SEO methods and software to optimize:

  • the display of our website and the content of our website in search engines such as Google, Yahoo!, Bing, etc.
  • the display of content and information from our website (or our content and information hosted on other websites) when you share our videos, images, and website pages on social media websites and applications like Facebook, Twitter, Instagram, Soundcloud, etc.

Such methods and software use standard schema markups for structuring the content on our pages and are made available by social media websites and search engines themselves due to the way they need to display information on their own websites and applications. This means we are implementing their bits of software code – that they are making available as standard for such purposes – on our web pages because we want our information to be displayed in an integrated way.

For instance, when you share a video (that we made and published on our Youtube account) or an audio file (that we published on Soundcloud) on your Facebook or Twitter account, or when you share our website links on your Facebook or Twitter account, the information is displayed there in some standardized form that is regulated by those platforms through their bits of software code that we’re using.

We also have our own accounts on some social media websites and we are using their methods and software for connecting our accounts to their platforms.

Because of this interconnection between websites and applications, the users that visit our pages may also be (anonymously) viewed or tracked by such third parties in a way that is not under our control. Such visits may be viewed or tracked through most of the internet’s websites if those websites have interconnections with such social websites, applications, or search engines as we do.

For this reason, we advise you to consult such third parties’ privacy policies which may be published on their websites.

Who on our team has access

Members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access:

  • Order information like what was purchased, when it was purchased and where it should be sent, and
  • Customer information like your name, email address, and billing and shipping information.

Our team members have access to this information to help fulfill orders, process refunds and support you.

How long do we retain your data?

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. For users that register on our website (if any), we also store the personal information they provide in their user profiles. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. Some of the traffic statistics data may be stored in our database for up to one year. If you wish to know more about what’s stored (user account & traffic statistics), please contact us.

In order to protect your personal data from being stolen in case of an accidental breach of security on our servers, we only keep your personal records for a limited amount of time, after which it is anonymized. This is how long we retain personal data when it’s no longer needed for processing.

Pending, failed or canceled orders: 1 Day

Personal data on completed orders: 3 Months

What rights do you have over your data

If you have an account on this site or have left comments or feedback (without having an account), you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. Contact us if you wish to have your personal data removed from our servers. We will then send you a confirmation request at your user’s registered email address and you can finalize the process from there.

Where do we send your data?

Visitor comments may be checked through an automated spam detection service.

Your contact information

It is only we who will use the contact information you provided during purchase, by subscribing to one of our mailing lists, by sending us an inquiry through our contact form, or by responding to our surveys. According to the law, we will not share your contact information with anyone.

Additional information

Some of your online interaction options with us, like products saved in a Wishlist, are stored in your personal account, or, if you are a Guest, with the help of a cookie saved on your device. We offer such features for your convenience only. We do not profile you in any way, nor do we process, interpret, or share such data with anyone.

How we protect your data

To protect your data, we use a live firewall and anti-malware software on our servers. Additionally, all traffic to our website is encrypted, which means no third party will be able to intercept you during your visit to our website and monitor your behavior on our pages.

If you opened an account on our website, you will need to authenticate yourself with a user and password of your choice. We do not have access to your password, which is yours only unless we opened an account for you and we generated a default password (in which case we advised you to change it immediately). If you lost your password, you could only access your account through an automated process, where you will indicate your email or username used during registering your account. Your password will be reset, a new strong password will be randomly generated and sent to your registered email address.

We respect your personal data as well as your privacy and we ensure you that we do our best effort to protect it. Should you have any concerns, please contact us.

What data breach procedures do we have in place

Live firewall and anti-malware software monitors all incoming traffic to our website and notify us immediately if a data breach has occurred or was attempted.

In case we learn that your data stored on our servers was compromised in any way or form, we will contact you immediately at your registered email address to inform you about recommended actions.

What third parties do we receive data from

We do not receive any data about you from a third-party entity. However, our protection software receives automatically aggregated blacklist data from established providers, in order to prevent attacks from such entities.

What automated decision-making and/or profiling do we do with user data

We have these systems in place where we may automatically contact you over email (if you are registered on our website or if you initiated a commercial transaction and already added your contact details, or if you are affiliated with our referral program, etc.):

  1. A system to inform you that your shopping cart is still saved and available to complete the purchase.
  2. A system to inform you that someone used your referral code to make a purchase (according to our Referral Program).
  3. A system to inform you that you automatically received some gratification (if a referred party used your referral code).
  4. A system to inform you about the interactions with our website (shopping confirmation emails, subscribe/unsubscribe confirmation emails, password change emails, etc.)

We may use segmented data from our user base to build targeted promotions or messages (i.e. if a group of our users purchased the same product, we may tailor a campaign to reward them somehow; or, we may want to ask for feedback from a segment of users).

Final Words

We analyze our web traffic to have a better understanding of our visitors and users. We do not profile you. We do not sell your data.
